This Privacy Policy explains how Fixly ("we", "us") collects, uses, and protects information when you use our website, web application, and related services (the "Service").

1. Information We Collect

We may collect:

  • Basic account information (name, email, phone number) when you sign up or sign in.
  • Call-related information, such as caller ID, call duration, call recordings, transcriptions, and notes generated by our AI system.
  • Google Calendar data that you explicitly authorize us to access in order to create, read, and manage calendar events.
  • Phone numbers of your customers when they call your Fixly number or when you add them to the system.
  • Usage data such as pages visited and actions taken in the app.
  • Payment and billing information processed through our payment provider, Stripe.

2. How We Use Information

We use the information we collect to:

  • Answer and route calls on your behalf using AI-powered voice technology.
  • Book, update, and manage jobs on your Google Calendar.
  • Send SMS text messages including appointment reminders, booking confirmations, and review requests to your customers.
  • Generate AI-powered call summaries and job notes.
  • Process payments and manage your billing through Stripe.
  • Operate, maintain, and improve the Service.
  • Provide customer support and communicate important updates.

3. AI and Automated Processing

Fixly uses artificial intelligence and automated systems to:

  • Answer phone calls and have natural conversations with callers.
  • Transcribe and summarize call content.
  • Extract job details and booking information from conversations.
  • Send automated SMS reminders and review requests.

These automated processes are designed to help you manage your business efficiently. You can adjust automation settings in your dashboard at any time.

4. Google User Data

When you connect your Google account, Fixly requests access to the following scopes:

  • userinfo.profile – Your basic profile information (name, profile picture).
  • userinfo.email – Your email address.
  • calendar.events – Read and write access to your calendar events.

We access only the minimum data needed to perform the Service. We do not sell your Google data to third parties or use it for advertising.

Our use and transfer of information received from Google APIs will adhere to theGoogle API Services User Data Policy, including the Limited Use requirements.

You can revoke Fixly's access to your Google account at any time by visitingGoogle Account Permissions.

5. SMS and Text Messaging

Fixly sends SMS text messages on your behalf to your customers for:

  • Appointment booking confirmations.
  • Appointment reminders (e.g., 24 hours and 2 hours before scheduled jobs).
  • Rescheduling communications.
  • Google Review requests after completed jobs.

By enabling these features, you confirm that you have obtained appropriate consent from your customers to receive these messages. Standard message and data rates may apply. Recipients can reply STOP to opt out of future messages.

6. Payment Processing

We use Stripe, Inc. as our payment processor. When you add a payment method or make a purchase, your payment information is collected and processed directly by Stripe. We do not store your full credit card number on our servers. Stripe's use of your data is governed by theirPrivacy Policy.

7. Data Sharing

We may share information with third-party providers that help us deliver the Service, including:

  • Twilio – For telephony and SMS messaging services.
  • OpenAI – For AI-powered voice and text processing.
  • Stripe – For payment processing.
  • Amazon Web Services (AWS) – For cloud infrastructure and data storage.
  • Google – For calendar integration and authentication.

These providers are required to protect your data and may not use it for their own purposes.

8. Data Retention

We retain data for as long as necessary to provide the Service and for legitimate business or legal purposes. Call recordings and transcripts are retained for up to 90 days unless you request earlier deletion. You may request deletion of your account and associated data at any time by contacting us.

9. Your Choices and Rights

You have the following choices regarding your data:

  • Disconnect Google: Revoke access fromGoogle Account Permissions.
  • Disable automations: Turn off SMS reminders, review requests, and other automations from your dashboard settings.

10. Security

We use reasonable technical and organizational measures to protect your information, including encryption in transit (TLS) and at rest. However, no system can be completely secure, and we cannot guarantee absolute security.

11. Children's Privacy

Fixly is not directed to children under 13, and we do not knowingly collect personal information from children.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page and update the "Last updated" date above. For material changes, we may notify you via email or in-app notification.
